Cohort platform · For career coaches

We built a coach's cohort program in five weeks.

One partner. One build. Custom domain, branded landing page, application flow, payment, student portal, email automation. All running on their own URL. Your build starts from the same stack.

01 · The first build

One cohort partner. Five weeks.
This is what shipped.

A career coach for clinicians leaving clinical roles. We built the entire cohort operation from scratch. Here is every piece.

01

Branded site

15-section editorial landing page on the coach's own domain. Custom fonts, colors, design tokens. Not a template with a logo swap.

02

Application form

22-question intake across five sections. Field validation, autosave to localStorage, optional resume upload. Mapped to the coach's cohort.

03

Admin dashboard

Triage queue with color-coded dots, status actions (accept, waitlist, decline), full application detail view. The coach reviews every application personally.

04

Status pages

Per-status copy that updates as the coach triages. "Your application is with [coach]." "You're in." "Not this time." Real-time, branded.

05

Email automation

Confirmation on submit, admin notification with full application data, acceptance email with enrollment link. Styled to the coach's brand.

06

Embedded payment

Square Web Payments SDK on the coach's site. Card form, order summary, refund policy. Participants never leave the domain to pay.

07

Student portal

Weekly session content, recordings, workbook archive, community links, Grapevines Pro access. Sidebar navigation across 8 weeks.

08

Welcome flow

Six-step onboarding: timezone, pre-work, notification preferences, resume upload, marketing consent. Sets the tone before Week I.

09

GTM funnel

Workshop landing page, post-workshop conversion page, resume kit lead magnet with email delivery. The full pipeline from awareness to enrollment.

10

Multi-coach ready

Coach config by hostname. Shared codebase. Custom domains. Adding a second coach is a config drop, not a rebuild.

All of this runs on a shared codebase. Your build does not start from zero. It starts from here.

02 · The platform

What every coach partner gets.
Proven on the first build.

01 / Your site

Your site, your brand

  • Custom domain (yourname.com)
  • Your design system: fonts, colors, tokens
  • Editorial landing page built with you
  • Application form mapped to your cohort
  • Hosted, deployed, maintained
02 / Operations

The operations layer

  • Admin dashboard with triage queue
  • Email automation (confirm, notify, accept)
  • Embedded payment on your site
  • Application status pages
  • Student portal with weekly content
03 / Engine

Grapevines between sessions

  • Positioning + voice calibration per participant
  • Resume, cover letter, LinkedIn from positioning
  • Role-fit scoring with 100-point analysis
  • Company research + stakeholder maps
  • Interview prep with STAR stories
03 · The funnel

Workshop to cohort.
The pipeline we already built.

Four stages. Each one has its own page, its own email, and its own admin view. Built once, reusable every cohort.

1

Lead magnet

Free resource (resume kit, workbook, template) with email capture. Resend delivers, lead logged, nurture sequence follows.

2

Free workshop

60-minute working session to the coach's audience. Framework delivery, not a sales pitch. Attendees imported to admin.

3

Application

Post-workshop, attendees get the application link. Coach reviews each one personally. Triage queue with accept, waitlist, or decline.

4

Enrollment

Accepted applicants get an email with a payment link. Embedded checkout on the coach's site. Portal access opens. Welcome flow starts.

04 · The split

Your methodology is the source.
We build the infrastructure around it.

You bring
  • Your audience (LinkedIn, email list, past clients)
  • Your methodology (frameworks, assessments, workbooks)
  • Your live coaching sessions
  • Your brand (name, voice, visual identity)
  • Your workshop content
We build
  • Your branded site (domain, landing page, forms)
  • The operations layer (admin, email, payment)
  • The student portal (content, recordings, community)
  • The Grapevines engine (deliverables per participant)
  • The funnel (lead magnet, workshop, enrollment)

Your methodology stays yours. If you have assessments, workbooks, or frameworks, those stay your IP. Grapevines is the infrastructure that makes them scale.

05 · Inside the cohort

How the first cohort maps coaching to platform.

This is one example, not a template. Your curriculum, your weekly themes, your methodology. We map Grapevines deliverables to whatever you teach.

1Know YourselfOnboarding + positioning conversation
2Build Your IdentityFull positioning statement + bridge story
3Tell Your StoryRole-specific resume + cover letter
4LinkedIn PresenceLinkedIn copy + content angles + talking points
5Get In The RoomNetworking approach + outreach sequences
6Interview FoundationsSTAR stories + general interview prep
7Win The InterviewRole-specific interview prep + behavioral questions
8Close The GapSalary negotiation + offer rubric + 90-day plan

Each week, your live coaching delivers the methodology. Participants use Grapevines between sessions to produce the deliverable. Nothing is mass-produced. Every output reflects the individual participant.

06 · The economics

Higher leverage per hour. Revenue your 1:1 practice cannot generate.

The 1:1 model has a ceiling. There are only so many hours in a week, and burnout caps your client list whether you want it to or not.

01
Charge more per client.A cohort participant gets coaching + workbooks + community + access to a strategic AI engine. That bundle commands a higher price than 1:1 coaching alone.
02
Serve more clients per hour. One coaching session with 8 participants delivers similar individual value because Grapevines fills the depth gap between sessions.
03
Build recurring revenue.Participants who finish the cohort and continue with Grapevines directly become a passive revenue layer alongside your next cohort.

Our first partner priced at $797 per seat with an 8-seat cap. The specifics depend on your audience, your pricing, and your cohort size. We walk through the math together on the call.

07 · Who this is for

Best for coaches who already have the audience
and the methodology.

Ideal for
  • Coaches with an established audience.A few thousand engaged LinkedIn followers, an email list, past clients who would give testimonials. Engagement matters more than raw follower count.
  • Coaches with a clear methodology.Frameworks you have refined, assessments you have built, workbooks you can deploy. Grapevines amplifies what you have. We do not substitute for a methodology you have not developed.
  • Coaches ready to invest 4-6 weeks. Our first partner did five weeks from first call to applications open. Most of the work is upfront. Cohorts 2 and 3 run faster.
  • Career coaches specifically. Our platform is built for career transitions and professional storytelling. The positioning engine, voice calibration, and interview prep are career-specific, not generic.
Not designed for
  • ×Coaches still building their audience
  • ×Coaches without a methodology of their own
  • ×Life coaches, business coaches, or wellness coaches. Our AI is trained on career positioning specifically.
  • ×Coaches who want to outsource everything. The partnership is co-built, not done-for-you.
08 · FAQ

Common questions.

How long does the build take?
Our first partner went from first call to accepting applications in five weeks. Most of the build happens in weeks 2-4. Week 1 is discovery and curriculum mapping. Week 5 is launch.
Do I get my own domain?
Yes. Your site runs on your domain with your brand. Your fonts, your colors, your name. Not a Grapevines page with a logo swap.
Can I use my existing frameworks and methodology?
Yes. Your methodology stays the source of truth. Grapevines outputs feed into whatever you teach. We map our deliverables to your curriculum during the design phase, not the other way around.
How does payment work?
Embedded checkout on your site. Square Web Payments SDK. Your participants never leave your domain to pay. You see every transaction in your Square dashboard.
What does the admin dashboard look like?
A triage queue for applications with color-coded dots, status actions (accept, waitlist, decline), full application detail, and student roster. You review everything. We do not gatekeep your applicants.
What about my assessments and workbooks?
Those stay your IP. If you have proprietary assessments, frameworks, or workbooks, they stay yours. Grapevines is the infrastructure that makes them scale. We do not absorb or replicate your methodology.
What happens after cohort 1?
Cohort 2 marketing starts about 6 weeks into cohort 1. By then you have testimonials, a case study, and an alumni community. The launch playbook is reusable. Most coaches see cohort 2 fill faster than cohort 1.
Do I need a huge audience?
No. We have seen successful partnerships with coaches who have a few thousand engaged followers. Engagement and trust matter more than raw audience size. A 5K-follower coach with active comment threads fills a cohort better than a 50K-follower coach whose audience is dormant.
How does pricing work?
We structure partnerships to fit your situation. There are a few common shapes depending on your cohort size, audience, and how deeply Grapevines is embedded. We walk through the options together on the call.
